Employee Management Guide

Complete instructions for organizational account managers

Overview

As an organizational account manager, you can manage employee profiles for your organization. This guide covers how to add, edit, and delete individual employees, as well as how to use the bulk upload feature for adding multiple employees at once.

Your organization has a subscription with licensed seats. Make sure you have enough seats available before adding employees, or be prepared to purchase additional seat licenses.

Adding Individual Employees

Step-by-Step Instructions:

Navigate to Employee Management

From your dashboard, click on "Manage Employees" or use the navigation menu to access the Employee Management page.

Click "Add Employee" Button

In the top right corner, click the purple "Add Employee" button to open the employee form.

Fill in Required Information

The following fields are required:

  • First Name - Employee's first name
  • Last Name - Employee's last name
  • Primary Email - Must be a valid email address (used for login)

Add Optional Demographics (Recommended)

Complete additional fields for better analytics:

  • Middle Name
  • Gender, Age, Ethnicity
  • Job Title, Department, Industry
  • Education Level
  • Years in Current Job and Profession
  • Contact Information (Address, Phone)

Save the Employee Record

Click "Save Employee" to create the record. The employee will automatically be assigned to your organization.

📧 Note: Once you add an employee, you can invite them to access the platform via the User Management section. They will receive an email invitation to set up their account.

Editing Employee Information

How to Edit an Employee:

Locate the Employee

Use the search bar to find the employee by name, department, or company. The search is live and updates as you type.

Click the Edit Button

In the employee table, click the pencil icon in the "Actions" column for the employee you want to edit.

Make Your Changes

The employee form will open with all current information pre-filled. Update any fields as needed.

Save Changes

Click "Save Employee" to update the record. Changes are applied immediately.

Deleting Employees

Warning: Deleting an employee removes all their data including survey responses and well-being history.

How to Delete an Employee:

Find the Employee

Use the search function to locate the employee you wish to remove.

Click Delete Button

In the "Actions" column, click the trash icon for the employee.

Confirm Deletion

A confirmation dialog will appear. Review the warning and click "Delete" to proceed, or "Cancel" to abort.

Note: Deleting an employee does NOT free up a seat license immediately. The seat will remain occupied until the subscription period ends, but you can add a new employee to replace them.

Bulk Employee Upload

The bulk upload feature allows you to add multiple employees at once using a CSV file. This is ideal for onboarding an entire team or department quickly.

Step-by-Step Instructions:

Prepare Your CSV File

Create a CSV file with employee data. Required columns are:

  • First_Name (required)
  • Last_Name (required)
  • primary_email (required)

Optional columns: Middle_Name, Gender, Age, Ethnicity, Job_Title, Industry, Education, Years_In_Job, Years_In_Profession, address_line_1, address_line_2, City, State, Zip, Primary_Phone, Department

Download the Sample CSV

Click the "Download Sample CSV" button at the top of this page to get a template with example data from a law firm. Use this as a reference for formatting your data.

Click "Bulk Upload" Button

On the Employee Management page, click the "Bulk Upload" button next to "Add Employee".

Select Your CSV File

Click "Choose File" and select your prepared CSV file from your computer.

Check Seat Availability

The system will show you your current seat status: total seats, used seats, and available seats.

Click "Upload Employees"

Click the upload button to process the file.

Handle Seat License Decision

If your upload requires more seats than available, you'll see a dialog with two options:

Option A: Limit Upload to Available Seats

Only the first N employees (matching your available seats) will be uploaded. The rest will be skipped.

Option B: Add More Seat Licenses

Purchase additional seats in blocks of 10 to accommodate all employees in your file.

Choose Billing Interval (if adding seats)

If you choose to add seats, select whether you want monthly or annual billing:

  • Monthly: $10 per employee seat per month
  • Annual: $84 per employee seat per year (30% savings)

The cost will be prorated and added to your next billing cycle.

Confirm and Complete

Review your decision and click the confirmation button. The system will process your upload and show a success message.

Important Notes:

  • Seat licenses are sold in blocks of 10 employees. If you need 15 seats, you'll purchase 20 (2 blocks).
  • All employees in your CSV will be automatically assigned to your organization.
  • Duplicate email addresses will cause the upload to fail - ensure all emails are unique.
  • The Employer field from your CSV will be overwritten with your organization name.
CSV Format Reference

Your CSV file should have column headers in the first row, followed by employee data in subsequent rows. Here's an example structure:

Best Practices
  • Keep demographics current: Regularly update employee information to ensure accurate analytics and reporting.
  • Plan seat purchases: Review your hiring plans and purchase seats in advance to avoid delays during onboarding.
  • Use bulk upload for teams: When onboarding 5+ employees, use the bulk upload feature to save time.
  • Test with sample data: Download and review the sample CSV before creating your own upload file.
  • Validate email addresses: Ensure all email addresses are valid and unique to prevent upload errors.
  • Choose annual billing: Save 30% by selecting annual billing when adding seat licenses.
